Definitions
- "Company," "we," "us," or "our" refers to True North VIP
- "Client," "you," or "your" refers to the person or entity booking our services
- "Services" refers to ground transportation and related services
- "Vehicle" refers to any transportation vehicle provided by the Company
- "Chauffeur" refers to our professional drivers
- "Reservation" refers to a confirmed booking for transportation services
Bookings & Wait Time
Reservation Confirmation
All reservations must be confirmed in writing (email or through our booking system). Reservations are subject to vehicle and chauffeur availability. We recommend booking at least 24 hours in advance for preferred availability.
Wait Time Policy
- Airport Arrivals: 60 minutes complimentary wait time for domestic flights, 90 minutes for international flights
- Point-to-Point: 15 minutes complimentary wait time
- Hourly Service: Wait time included in service
- Additional Wait Time: Additional fees apply after complimentary period
Flight Tracking
For airport transfers, we provide complimentary flight tracking. Chauffeur arrival times are automatically adjusted based on actual flight arrival times. Clients must provide accurate flight information at time of booking.
Cancellations & No-Shows
Cancellation Policy
- 24+ hours: Full refund or credit
- 12-24 hours: 50% cancellation fee
- 2-12 hours: 75% cancellation fee
- Less than 2 hours: 100% cancellation fee
No-Show Policy
Clients who fail to appear for confirmed reservations will be charged the full service amount. A no-show occurs when the client is not available at the designated pickup location within the complimentary wait time period and has not contacted us to modify the reservation.
Weather and Emergency Cancellations
In cases of severe weather, natural disasters, or other emergencies that make safe transportation impossible, we may cancel services with full refund and no penalty to either party.
Passenger Conduct & Safety
Acceptable Conduct
All passengers must conduct themselves respectfully and lawfully. The following behaviors are prohibited:
- Illegal drug use or excessive alcohol consumption
- Smoking in vehicles (including e-cigarettes)
- Threatening, abusive, or disrespectful behavior toward chauffeurs or other passengers
- Damage to vehicle interior or equipment
- Any illegal activity
Right to Refuse Service
We reserve the right to refuse service or terminate transportation for passengers who violate these conduct standards. No refund will be provided for services terminated due to passenger misconduct.
Safety Requirements
- All passengers must wear seatbelts when provided
- Children must use appropriate safety seats (available upon request)
- Passengers must follow chauffeur instructions regarding safety
- Maximum passenger capacity must not be exceeded
Luggage & Personal Belongings
Luggage Limitations
- Luggage must fit within vehicle capacity and weight limits
- Oversized items require advance notice and appropriate vehicle selection
- Hazardous materials are strictly prohibited
- Sports equipment accepted with advance notification
Personal Belongings
Clients are responsible for their personal belongings at all times. While we will make reasonable efforts to return lost items, True North VIP is not liable for lost, stolen, or damaged personal property. We recommend securing valuables and keeping important items with you during transport.
Child Safety Seats
We provide professional-grade child safety seats for passengers under 8 years old or under 4'9" in height, in compliance with state safety laws.
Requirements
- Child seats must be requested at time of booking
- Specify child's age, weight, and height for proper seat selection
- Additional time required for proper installation
- Parents/guardians may provide their own seats if preferred
Accessibility Services
We are committed to providing accessible transportation services in compliance with the Americans with Disabilities Act (ADA).

- Wheelchair-accessible vehicles with professional lift systems
- Trained chauffeurs for mobility assistance
- Service animals welcome at no additional charge
- Advance notice required for specialized accessibility needs
Delays & Force Majeure
While we strive for punctual service, True North VIP is not liable for delays caused by circumstances beyond our reasonable control, including but not limited to:
- Traffic congestion, accidents, or road closures
- Severe weather conditions
- Natural disasters or emergencies
- Government actions or security requirements
- Mechanical failures or vehicle breakdowns
- Airport delays or closures
In case of significant delays, we will make every effort to provide alternative transportation or notify clients as soon as possible.
Payments, Taxes, Tolls & Fees
Payment Terms
- Payment required at time of service or within agreed terms
- Major credit cards, cash, and corporate accounts accepted
- Gratuities are appreciated but not mandatory
- Service charges may apply for special requests
Additional Charges
- Tolls: Passed through at cost
- Parking Fees: Client responsibility when chauffeur must park
- Airport/Facility Fees: Included in quoted price when applicable
- Fuel Surcharges: May apply during periods of significant fuel price increases
Taxes
All applicable federal, state, and local taxes will be added to service charges where required by law. Tax-exempt organizations must provide valid documentation.
Liability Limitations
True North VIP maintains comprehensive commercial insurance and operates with all required licenses and permits. Our liability is subject to the following limitations:
Insurance Coverage
- Commercial general liability insurance
- Commercial automobile liability insurance
- Workers' compensation insurance
- Professional liability coverage
Limitation of Damages
In no event shall True North VIP's liability exceed the amount paid for the specific service in question. We are not liable for indirect, consequential, or incidental damages including but not limited to missed flights, meetings, or events.
Governing Law & Jurisdiction
These terms and conditions are governed by the laws of the State of New York. Any disputes arising from these terms or the provision of services shall be resolved in the courts of New York State. Both parties consent to the jurisdiction of such courts and waive any objection to venue therein.
Changes to Terms
True North VIP reserves the right to modify these terms and conditions at any time. Updated terms will be posted on our website and will apply to all reservations made after the effective date. Continued use of our services after changes are posted constitutes acceptance of the modified terms.
